Privacy Policy

Ratio Consultants is committed to providing quality services to you and this policy outlines our ongoing obligations to you in respect of how we manage your Personal Information.

We have adopted the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth). The APPs govern the way in which we collect, use, disclose, store, secure and dispose of your Personal Information.

What Personal Information do we collect and why do we collect it?

Personal Information is information or an opinion that identifies an individual. Examples of Personal Information we collect include names, addresses, email addresses, phone and facsimile numbers.

The Personal Information that we will need to collect for our business purposes includes:

  • Name
  • Phone number
  • Email address
  • Postal and/or Street Address
  • Details of the services you require, including project information
  • Any other personal information that you submit to Ratio

We use your Personal Information for our business purposes including:

  • To contact you by phone, mail or email
  • To provide services to / conduct business activities with you
  • To update our client contact records
  • For business administration purposes, including debt management
  • For marketing use and to communicate with you about our services, events, surveys and other promotional activities
  • To conduct consumer research
  • For human resources purposes, such as considering your application to work at Ratio

You may unsubscribe from our mailing/marketing lists at any time by contacting us in writing. However, we may still need to contact you in respect of any business that we are conducting with you, and you are not able to unsubscribe from these communications.

Contacting us anonymously or using a pseudonym

If you do not wish to provide Ratio Consultants with your Personal information, you may contact us anonymously, or by using a pseudonym.

If you do provide us with your Personal information and you wish to limit the use and disclosure of the Personal Information, we recommend you expressly state those limitations when contacting us. By remaining anonymous, or by using a pseudonym, we may be limited in our ability to respond to, make further enquiries regarding your complaint, submission or enquiry with us, or provide our services.

Third Parties

Where reasonable and practicable to do so, we will collect your Personal Information only from you. However, in some circumstances we may be provided with information by third parties. In such a case we will take reasonable steps to ensure that you are made aware of the information provided to us by the third party.

Links to third party websites

Our websites or applications may include links to other websites or applications provided by others.

Accessing these links may allow third parties to collect information about you in accordance with their own privacy policies.

We do not control third party websites and we are not responsible for their privacy practices or policies. You should review the privacy policy of any third party and any applicable terms of use when you use their websites and applications.

You should also note that third party websites are liable to change and that we have no control over such changes. Always check whether the contents of third party websites are correct and up to date.

Disclosure of Personal Information

Your Personal Information may be disclosed in a number of circumstances including the following:

  • As part of providing our services to you, including but not limited to;
    • Local Councils
    • State Governments
    • Planning Authorities
    • Civil and Administrative Tribunals
    • Standing Advisory Committees
    • Planning Panels
    • Our clients, but only if we have your consent to disclose your personal information
    • Other consultants as required to act on your behalf
  • Third party service providers acting on our behalf: communication services, CRM, IT and web hosting service providers, mailing houses, couriers, legal advisers, accountants, advertising agencies etc.
  • Where required or authorised by law.

On occasion, we may disclose your Personal Information to recipients outside of Australia. In such cases, before disclosing the Personal Information to overseas recipients, we will take reasonable steps to ensure that the overseas recipient complies with the APPs.

Those overseas recipients may include:

  • Third party service providers acting on our behalf: communication services, CRM, IT and web hosting service providers, mailing houses, couriers, legal advisers, accountants, advertising agencies, facilities service providers etc.

In addition, there may be instances where some of our third-party service providers hold or disclose your Personal Information outside of Australia.

You should be aware that some overseas recipients may not be subject to a law, or binding scheme, that has the effect of protecting the information in a way that, overall, is at least substantially similar to the way in which the APPs protect the information.

Access to your Personal Information

You may access the Personal Information we hold about you and update and/or correct it, subject to certain exceptions. If you wish to access your Personal Information, please contact us in writing.

Ratio Consultants will not charge any fee for your access request, but may charge an administrative fee for providing a copy of your Personal Information.

In order to protect your Personal Information, we may require identification from you before releasing the requested information.

Maintaining the Quality of your Personal Information

It is an important to us that your Personal Information is up to date. If you find that the information we have is not up to date or is inaccurate, please advise us as soon as practicable so we can update our records and ensure we can continue to provide quality services to you.

When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information. However, most of the Personal Information is or will be stored in client files which will be kept by us for a minimum of 7 years. In addition, cached copies of material may be stored in our servers as part of the usual way in which electronic information is saved.
